QuickBooks bookkeeping
We do all our bookkeeping in QuickBooks Online. Jackson, who owns SMB Help, is a QuickBooks Online ProAdvisor. You can log in and see everything we do, any time.
QuickBooks doesn't do the books by itself
Connecting the bank is the easy part. After that, someone has to decide where every transaction goes and check the totals against your bank statements. When nobody does, you end up with a dashboard full of numbers nobody trusts and a pile of uncategorized transactions.
That part is what we do.
Where's your QuickBooks now?
On QuickBooks Online
You invite us as your accountant from inside QuickBooks. It takes a couple of minutes, and you don't share your password.
First we look at how it's set up: the chart of accounts, the bank feeds, and how far the reconciliations go. If it's clean, monthly work starts right away. If it's months behind or set up in a way that doesn't fit your business, we'll tell you, and catch-up comes first.
Not on QuickBooks yet
Setup is part of getting started. We create the company in QuickBooks Online and build a chart of accounts around how a service business makes and spends money. Then your bank and card feeds get connected.
Running on a spreadsheet or just a bank account right now? If there's history to bring in, that's catch-up, and it happens before monthly work starts.
On QuickBooks Desktop
We work in QuickBooks Online. Intuit stopped selling most Desktop versions to new customers in 2024 and points new users to Online.
If you're still on Desktop, tell us on the first call and we'll talk through what moving over looks like for your books.
What we do in QuickBooks each month
- Bank and card feeds
- Transactions come in on their own through read-only feeds. We never move your money.
- Categorizing
- Every transaction gets the right account, with bank rules set up for the ones that repeat, like fuel, supply houses, and software.
- Reconciling
- Each account gets matched to its statement, so the balance in QuickBooks is the balance at the bank.
- Closing the month
- Once a month is reconciled, it gets closed so the numbers stay put.
- 1099 tracking
- Subs get marked as 1099 contractors as you pay them, so the totals are ready in January.
At year end your CPA gets a reconciled year in QuickBooks. We don't file taxes, but clean books mean fewer questions from your CPA and a smaller bill for the filing.
What it costs
Monthly bookkeeping runs $200 to $600 a month, and most quotes land between $300 and $400. There's no contract. The pricing page has the full breakdown.
Who we do this for
Contractors tracking subs and materials, home service companies with trucks on the road, and people who work for themselves. We're based in Carmel, Indiana, and since it's all in QuickBooks Online, you can be anywhere in the US. More about Jackson.
